VADEA NSW respects the privacy of its members and affiliated organisations. We are committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy outlines how we collect, use, store, and protect your personal data.
We only collect personal information that is reasonably necessary for the operation of our Association and to provide services and benefits to our members.
VADEA NSW collects the following types of personal information:
Names and contact details (email address, phone number)
Workplace or organisation names
NESA (NSW Education Standards Authority) numbers (for professional development tracking)
Billing and address details
Concession eligibility documentation (e.g. student ID)
This information is used to:
Create and manage membership profiles
Assist with the identification and reporting of professional development opportunities
Provide updates on events, initiatives, and opportunities
Send sponsor communications (via VADEA NSW only – never directly from sponsors)
We do not share, sell, or disclose your personal information to third parties, including our sponsors, unless explicit written consent has been obtained.
For concession membership applications, evidence of eligibility is reviewed but not stored beyond the application process.
For group (bundle) memberships, the designated Bundle Coordinator is responsible for providing VADEA NSW with your information during registration. By agreeing to our terms and conditions upon sign-up, you give consent for your data to be used in line with this policy.
If you leave the organisation through which your membership was provided, VADEA NSW and the Bundle Coordinator may remove you from the bundle. Membership benefits will cease unless you renew as an individual member or join another bundle.

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification, or disclosure.
Member data is stored securely using Wild Apricot Membership Software, which provides controlled access and standard data security protocols. Access is restricted to VADEA NSW staff and authorised administrators.
No data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal data, we cannot guarantee or warrant the security of any information collected through our Site. You use our Site and provide us with your personal data at your own risk.
Wild Apricot may store data on servers located outside of Australia. Where this occurs, VADEA NSW ensures that the service provider complies with privacy protections equivalent to those required under Australian law.
Our website may use cookies and third-party analytics tools to collect non-identifiable information about how visitors interact with our site. This helps us improve user experience. You can manage cookie settings through your browser preferences.
Personal information is retained for as long as necessary to manage your membership and meet legal obligations. If your membership lapses, your personal data may be retained for up to 24 months, after which it will be securely deleted, unless otherwise required by law.
You may request access to the personal information we hold about you, and request that it be corrected or deleted if inaccurate, incomplete, or no longer required.
